How Each Metric is Calculated
Booking Rate
Measures what % of sales appointments resulted in a booked job, excluding partner discounts and no-access visits.
Formula
(Total Leads โ No Access โ Pending) รท (Total Leads โ Pending)
Partner Discount rows are excluded entirely. Pending Closing rows are excluded from both numerator and denominator (Real Time BR). No Access = the rep could not get into the property โ subtracted from booked count.
Example
WPB has 490 referrals in Jan. 36 are Partner Discount (excluded). Of remaining 454, 62 are No Access.
Booked = 454 โ 62 = 392 ยท Rate = 392 รท 454 = 86.3%

Goal
Set per branch per month in the Goals sheet. Aggregate default: 86%. Green = at/above goal. Red = below goal.

Tracks GC job cancellations by branch. Rate = GC jobs cancelled รท GC jobs booked.

GC Cancelled = rows where GC Cancelled = 1 in the branch cancel tab. GC Booked = rows where GC = 1 in the Booking Rate sheet (Partner Discount rows excluded).
Example
WPB Jan 2025: 153 GC jobs booked. 33 rows have GC Cancelled = 1 in the cancel tab.
Rate = 33 รท 153 = 21.6%

Tracks GC job volume, gross profit margin, and how much revenue was missed by not hitting the GP% goal.
Avg GP% Formula
Sum of GP% values รท Number of qualifying jobs
Qualifying = closed, non-cancelled, GP% between โ200% and 110% (outlier filter)
Missed Revenue Formula

Only shows when actual GP% is below goal. Answers: "how much more GP$ would we have earned at goal rate?"
Example
HOU closes 20 jobs. Actual GP% = 46%. Actual GP$ = $180,000. Goal = 52%.

Missed Revenue
Estimates how much additional GP$ would have been earned if all closed jobs had hit the GP% goal.
Formula

This scales your actual GP$ up proportionally to what it would have been at the goal rate. It assumes the same number of jobs and same contract amounts โ only the margin changes.
Example
HOU closes 20 jobs. Actual GP% = 46%. Actual GP$ = $180,000. Goal = 52%.
Projected at goal: $180,000 ร (52 รท 46) = $203,478
Missed Revenue = $203,478 โ $180,000 = $23,478

When It Shows
Only displayed when actual GP% is below the goal. If at or above goal, the branch shows โ. Shown in the KPI card, GP% charts, and branch summary table.
Limitation
This is a straight ratio projection โ it does not account for the possibility that higher margins might mean fewer jobs won, or that contract amounts themselves could change.
Top Job Services (TJS)
Tracks field inspection volume and report completion time by location. Data is entered manually in the spreadsheet each month.
Completion Time Formula
Avg Days = Sum of Completion Days รท Number of Jobs
Days = time from field inspection to completed report. Goal is โค 2 days.
Example
TPA completes 3 inspections in March: 1 day, 2 days, 4 days.
Avg = (1 + 2 + 4) รท 3 = 2.3 days โ shown in red (above 2-day goal)

Filtered by the global date range. Month column uses full text format (e.g. "January 2026") โ the dashboard parses this automatically.

How Data is Updated โ Weekly Maintenance Guide
This dashboard is updated every Friday. Each data source has a specific update method to ensure accuracy and avoid double-counting. Follow the steps below carefully.
๐ Booking Rate Data Tab
Method: Append โ keep all historical data, replace MTD only
1. In the spreadsheet, find the Booking Rate Data tab.
2. Delete all rows where Referral Date falls in the current month (MTD).
3. Paste in the fresh MTD export from HEX โ this replaces the old MTD data with updated figures.
4. Do not delete prior months โ historical data stays in place permanently.
โ No duplicate risk โ each row is a unique referral. Replacing MTD rows ensures updated bookings/no-access flags are captured.

4. This tab always reflects the current month only โ no historical backlog is maintained here.
โ Always delete before pasting โ this tab has no date key, so pasting without deleting will create duplicates.
Note: Historical cancellation data will be added to this tab once Charles provides a backlog export.
